A useful convention transport plan starts with the correct venue and the part of the event you are attending. An exhibitor arrival, a first session and a hotel check-in can require different trips. The Seaport venue is now the Thomas M. Menino Convention & Exhibition Center, or MCEC, formerly the Boston Convention & Exhibition Center, or BCEC. Confirmed October convention dates
The dates below were checked against both the Signature Boston calendar and the organizer. AHCA/NCAL and AdvaMed have longer conference programs than their exhibit dates. Reserve travel for the sessions you will actually attend, including any arrival day activities you have selected.
Signature Boston lists the ASCO venue event October 15–17, but ASCO publishes its attendee symposium as October 16–17. This guide uses the organizer’s attendee dates. October 15 is not treated as a confirmed symposium session day. Check each organizer’s current program before finalizing pickups.

Logan to Seaport and MCEC/BCEC
For AHCA/NCAL or AdvaMed, specify whether the first stop is a Seaport hotel or the convention center. If you need to leave bags at the hotel before registration, include that stop when requesting the reservation. A booking that ends at the hotel should not be assumed to include a later trip to the venue.
Massport states that limousine service at Logan requires a prior reservation and uses designated terminal pickup locations. Include the airline, flight number, terminal if known, and a phone number reachable after landing. Review the confirmed meeting instructions before travel; flight arrival, baggage collection and being ready at the pickup point are separate milestones.
If you plan to go directly to a session, allow time for registration and finding the room after the vehicle arrives. Share the required arrival time rather than choosing a pickup solely from the session start.
Logan to Back Bay and Hynes
ASCO attendees traveling in person should identify Hynes or their Back Bay hotel as the destination. Check the actual hotel location before grouping colleagues onto one airport ride. A Seaport hotel and a Back Bay hotel need separate destination instructions even when both reservations describe the stay as Boston.
For an arrival before the October 16 program, decide whether to settle into the hotel first or continue directly to Hynes. Carry the organizer program and your registration details so a change of plan can be expressed as a specific stop and arrival requirement.
For the return to Logan, work backward from your airline’s check-in guidance. Include time to collect stored luggage, gather colleagues and reach the confirmed vehicle meeting point. A session ending at a certain time does not mean every passenger will be ready to leave immediately.
Hotel loops for teams attending together
Prepare each hotel loop as a sequence of named properties, pickup entrances, passenger counts and venue arrival targets. Ask the hotel where a reserved vehicle may stop, then include that entrance in the itinerary. Agree whether everyone boards at one location or whether the plan needs several stops.
For the return loop, choose a meeting location and a realistic gathering window. If colleagues have different final sessions, separate the departure groups instead of expecting one vehicle to serve incompatible times. Request an updated quote when stops or waiting change.

Consider hourly service when a team needs several passenger movements between a hotel, venue and meetings with waiting between stops. Specify the start and end of the requested block, the stop order and any periods when the car is needed nearby. Compare that plan with separate transfers if the day contains only isolated rides.
Exhibitor access and loading arrangements come from the organizer. Passenger transportation should not be treated as a freight or loading-dock reservation. Describe any hand-carried cases and confirm suitability; arrange booth freight through the event’s approved procedures.

Bags, equipment and arrival waves
List luggage separately from passengers: suitcases, carry-ons, poster tubes and equipment cases all affect the vehicle request. Include dimensions for unusual items and confirm the available layout before selecting a vehicle. Do not assume a passenger capacity guarantees space for every attendee’s cases.
For colleagues arriving on different flights, group requests by arrival wave and destination. Set out how long the group is prepared to wait and who decides whether to split it. Give each traveler the reservation contact details so a delayed flight or terminal change reaches the person coordinating the ride.
Details to confirm before departure
Review the booking confirmation against the itinerary: travel dates, flight details, full destination names, pickup instructions, passengers, bags, stops, requested waiting and quoted price. For hourly work, verify the reserved block and how extensions are handled. Share the same confirmed version with the travelers and the person arranging the trip.
Recheck the organizer program for your first and final sessions. Keep airport pickup instructions separate from hotel and venue meeting instructions. Before the final airport departure, confirm where luggage is stored and whether anyone has added a stop. Clear details make the reservation match the trip you intend to take.

Are BCEC and MCEC different venues?
No. The Seaport convention center is now the Thomas M. Menino Convention & Exhibition Center, formerly BCEC. Hynes is the separate Back Bay venue.
Which ASCO dates should I use for travel?
ASCO confirms October 16–17, 2026 for attendee sessions at Hynes. Signature Boston’s broader October 15–17 listing does not establish an attendee session on October 15.
Can I combine airport transfers and hotel loops?
